Application Privacy Notice

This notice explains how we handle your personal data, including your CV and the video you record, when you apply for a position at OOVIE Studios. For our general practices, see our main Privacy Policy.

1. Who is responsible for your data

The data controller for job applications is OOVIE Studios SA (Via Massimiliano Magatti 1, 6900 Lugano, Switzerland).

For any privacy question or to exercise your rights, contact us at lorenzo@ooviestudios.com. We have not appointed a Data Protection Officer, as we are not legally required to; the address above handles all requests.

2. What data we collect

  • Identity: first name, last name, email, phone number (optional).
  • Screening answers: your answers to the role's screening questions, your preferred way of working, whether you are open to relocating to Milan or Lugano, and whether you have prior startup experience.
  • CV: the résumé/CV file you upload (PDF, DOC, or DOCX). This is required to apply.
  • Video: a self-recorded video, up to about one minute, in which you explain why you want to work with OOVIE Studios. This video is required to apply.
  • Automatically: technical and usage data via cookies and analytics, only with your consent, as described in our Cookie Policy.

3. Why we use it, and our legal basis

We process your application data to take steps at your request prior to entering into a contract with you (Art. 6(1)(b) GDPR), and, for candidates based in Switzerland, on the basis that this data relates to your suitability for the role (Art. 328b of the Swiss Code of Obligations). We do not ask you to consent to being evaluated — applying for the role is itself the request that triggers this processing.

Your video is reviewed by a human member of our team only. We do not run it through facial or voice recognition software, and we do not use it to make any automated decision about your application. We ask reviewers not to draw conclusions from anything in the video unrelated to the role — such as ethnicity, age, religion, or disability.

4. Who we share your data with

We do not sell your data. We share it only with service providers that act on our instructions under a data processing agreement:

  • Vercel (Blob): stores your CV and video in a private, access-controlled store in the EU. Neither is ever publicly reachable.
  • Airtable: stores your application record (name, answers, and a reference to your video) so our team can review it.
  • Resend: sends you the confirmation email and notifies our team of your application.
  • Vercel: website hosting.

5. International data transfers

Your video is stored exclusively in the EU. Some other providers (Airtable, Resend) process data in the United States. These transfers are protected by the EU–US Data Privacy Framework (where the provider is certified) and/or the EU Standard Contractual Clauses. For transfers from Switzerland, the Standard Contractual Clauses are applied as adapted under the Swiss FADP. You can request a copy of the relevant safeguards at the contact above.

6. Your rights

You have the right to access your data, correct it, delete it, restrict or object to its processing, and request portability. To exercise any of these rights, write to lorenzo@ooviestudios.com.

You may also lodge a complaint with a supervisory authority:

  • Italy: Garante per la protezione dei dati personali, garanteprivacy.it
  • Switzerland: Federal Data Protection and Information Commissioner (FDPIC), edoeb.admin.ch

7. How long we keep your data

We keep your application data, including your CV and video, for 6 months from the date you submit it. After that, it is automatically and permanently deleted — the CV and video through a storage-level deletion rule, and the rest of your application record through a daily automated process. If you are hired, your data moves into our regular HR records under different terms, which we'll explain separately at that point.

8. Changes to this notice

We may update this notice; the "last updated" date above shows the current version. We'll communicate material changes where appropriate.
